1. Acceptance of Terms
By accessing or using the PixelSuite platform ("Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms apply to all users, including businesses, employees, and administrators.
2. Service Description
PixelSuite provides a cloud-based business management platform including POS, inventory, accounting, payroll, and related modules. The Service is offered on a subscription basis with varying feature sets depending on your chosen plan.
3. Account Registration
You must provide accurate, complete information when registering. You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account. Notify us immediately of any unauthorized access.
4. Subscription & Billing
- Plans are billed monthly or annually as selected during signup.
- Free trials last 14 days with full feature access.
- Payments are processed via PayHere or manual bank transfer.
- Failure to pay may result in account suspension after a 7-day grace period.
- You may upgrade, downgrade, or cancel your plan at any time.
- Annual plans include a 14-day money-back guarantee from the date of purchase.
5. Acceptable Use
You agree not to: use the Service for illegal purposes; attempt to access other tenants' data; reverse-engineer the software; upload malicious content; or circumvent security measures.
6. Data Ownership
You retain full ownership of all data you enter into the system. We do not claim rights to your business data. Upon cancellation, your data is retained for 30 days before permanent deletion. You may request an export at any time.
7. Service Availability
We strive for 99.9% uptime but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance. We are not liable for losses due to service interruptions.
8. Limitation of Liability
PixelSuite and Pencil Codes shall not be liable for indirect, incidental, or consequential damages. Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.
9. Changes to Terms
We may update these Terms from time to time. Continued use of the Service after changes constitutes acceptance. Material changes will be communicated via email or in-app notification.
10. Governing Law
These Terms are governed by the laws of Sri Lanka. Any disputes shall be resolved in the courts of Colombo, Sri Lanka.

We collect information you provide during registration (name, email, phone, company name) and data generated through your use of the Service (transactions, inventory records, financial data). We also collect technical data (IP address, browser type, access times).

3. Data Storage & Security
Your data is stored on secure servers with encryption at rest and in transit. We implement CSRF protection, Argon2ID password hashing, rate limiting, and session management. Access to production databases is restricted to authorized personnel only.
4. Tenant Data Isolation
In our SaaS platform, each tenant's data is logically isolated using tenant IDs. No tenant can access another tenant's data through the application or API. Self-hosted clients have fully separate databases.
5. Cookies
We use essential cookies for session management (authentication, CSRF tokens). We do not use tracking cookies or share cookie data with third parties. Session cookies are marked HttpOnly and SameSite=Strict.
6. Third-Party Services
We integrate with PayHere for payment processing and HelaPay for QR payments. These services have their own privacy policies. We do not sell or share your personal data with third parties for marketing purposes.
7. Data Retention
Active account data is retained for the duration of your subscription. Upon cancellation, data is retained for 30 days to allow reactivation. After 30 days, data is permanently deleted. Financial transaction logs may be retained longer to comply with Sri Lankan tax regulations.
8. Your Rights
- Access your personal data at any time through the application
- Request correction of inaccurate data
- Request deletion of your account and data
- Export your data in standard formats
- Withdraw consent for non-essential communications
9. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect personal information from minors.

Returns
As PixelSuite is a digital software service, physical returns do not apply. However, we do allow subscription cancellations and offer a money-back guarantee period for eligible plans as outlined below.
Refunds
We accept refund requests within 14 days from the date of purchase for Annual SaaS Plans. Once we receive your refund request, we will notify you of the status of your refund. If your refund is approved, we will initiate a refund to your original method of payment.
Payments for monthly subscriptions are non-refundable. You may cancel at any time, and your service will remain active until the end of your current billing cycle.
Exchanges & Upgrades
If you would like to exchange your current plan for a different package (e.g., upgrading from Starter to Pro), please contact our customer support team. We will prorate your existing balance toward the new plan and provide instructions on how to proceed.
Non-Refundable Items
Certain items and services are non-refundable. These include:
- Monthly SaaS subscription renewals
- One-time Self-Hosted licenses (once the license key is activated)
- Custom development, data migration, or onboarding setup fees
Processing Time
Refunds and exchanges will be processed within 5-7 business days after approval. Please note that it may take additional time for the refund to appear in your bank account, depending on your payment provider.
